KMB architects is seeking an Intern Architect to work independently or in a team.  Candidates will be innovative, creative, and critical thinkers who aspires to the highest standards of excellence.


Duties & Responsibilities:

Accounts Payable Processing:

  • Daily accounts payable entry ensuring accuracy, efficiency and strong internal controls

  • Process high-volume invoices with accuracy and speed

  • Reconcile vendor invoices to contract obligations notify project managers of overages

  • Support month-end closing process ensuring all accounts payable are recorded for prompt invoicing

  • Process and assist in weekly accounts payable check runs

  • Maintain detailed records for consultant compliance with state and local reporting (W-9 compliance, 1099 yearly reporting)

  • Reconciliation of company credit cards

  • Ability to research open items and communicate with consultants, project managers, and controller regarding invoices

  • Process employee travel expense reimbursements

Contract Administration

  • Management and maintenance of all project contract files, to include KMB architectsclient agreements and KMB architects-Sub-consultant agreements. This task will require familiarity with the variety of contract formats in use with our clients, and regular and open communication with the contracting officers of clients and subconsultant firms

  • Quality Control and review of KMB architects’ proposals and sub-consultant agreements.

  • Execution and entry of formal contracts into ERP systems ensuring all resources are documented and accounted for according to contractual agreements

  • Maintain quality records of client payments for monthly, quarterly and yearly reporting for governmental agencies reporting

Systems and Office Support

  • Provide backup to office tasks including answering phone calls, ordering supplies, and maintaining office cleanliness

  • Transmission of data to the KMB architect’s professional liability insurance company

  • Provide support and backup to controller regarding human resources including payroll and employee profiles in ERP systems

Knowledge, Skills, & Qualifications:

  • Bachelor’s degree in accounting, Business Management or related field preferred

  • Preferred 5-7 years of accounts payable or general accounting experience

  • Valid Washington State driver’s license

  • AIA contracting experience is a plus

  • Proficiency in Ajera or Deltek Vision accounting software preferred.

  • Experience in setup, maintenance, and execution of B2G reporting.

  • Financial & Accounting processes and procedures.

  • Must be able to maintain a high degree of confidentiality.

  • Strong interpersonal and communication skills.

  • Compliance and discretion maintaining personal confidential information for staff, clients, and consultants.

  • Multi-tasking – Ability to coordinate, manage, and complete two or more tasks simultaneously while maintaining the required quality and quantity levels.
